Job Title: Finance & Operations Manager
Classification: Exempt, 12-Month Position
Reports To: Head of School
Position Overview
The Finance and Operations Manager plays a critical leadership role in ensuring the effective financial, operational, and administrative functions of the school. Reporting to the Head of School, this exempt, year-round position serves as a key liaison between departments and stakeholders, facilitating high-quality support systems that directly impact student achievement and overall school success.
This individual will oversee school-wide operations, manage the school-based budget, ensure compliance with federal and state regulations, and implement best practices across multiple operational domains, including finance, safety, human resources, enrollment, and facilities management.
Primary Responsibilities
Finance
- Lead non-profit status compliance tasks related to Form 990 and other 501(c)(3) status-related items
- Lead payroll tax compliance tasks related to IRS Form 941
- Maintain and supervise revenue tracking and cash receipts via the BrightWheel tuition system
- Responsible for the day-to-day transactions of the school’s accounting, including working with an outside accounting group to record daily transactions, including cash receipts, expenses, and other accounting items.
- Responsible for accounts payable, including entering vendor invoices into the accounting system, getting approval for payment, and making payments to vendors.
- Act as payroll processing liaison between the payroll processing partner company and staff
- Oversee campus financial operations, including budgeting, forecasting, and expenditure tracking
- Manage tuition invoicing, payment plans, and collections
Human Resources
- Serve as Form I-9 custodian
- Facilitate new employee onboarding including background checks, timeclock setup, and Paid Time Off policies
- Maintain compliance with staff training requirements
- Aid the Head of School in the hiring and exit process of employees
- Liaise with retirement provider on staff 401(k) and retirement planning
Operations
- Lead coordination with vendors related to facilities, grounds, building maintenance, and school events
- Oversee field trip transportation logistics
- Emergency/Disaster Preparation and Response
- Supervise school’s auxiliary services: food service, transportation, and vendor management
- Manage use of campus space and ensure a clean, safe, and orderly environment
- Ensure systems for coverage of staff absences and class duties
- Develop and maintain accurate technology inventory and distribution system
Safety
- Implement operational systems that promote safety and security
- Collaborates with the Office Manager, and other administrative staff to prepare, train, and implement emergency/disaster responses (i.e., fire drills, lockdowns, severe weather drills, shelter-in-place drills, etc.).
- Ensure campus compliance with local, state, and federal safety regulations
- Calendars and conducts regular safety drills
- Serve as the medical point of contact for minor student health issues
- Maintain accurate parental guardianship information in student records
- Track staff training and staff development records on an individual basis
School Systems
- Promote strategic and innovative operational processes that support long-term sustainability
- Ensure accuracy and timeliness of required reports: accounting, payroll, licensing
- Serve as student enrollment contract custodian
- Lead implementation of school initiatives with fidelity

Role Title: Director of Admissions and Marketing
Fair Labor Standards Act Classification: Exempt, 11-month position
Reports To: Head of School
Westside Montessori School is searching for a Director of Admissions & Marketing (AD). The AD is responsible for overseeing all aspects of student recruitment, from initial marketing efforts through the application process. The AD will manage the school’s admissions and marketing functions to attract prospective students and achieve enrollment goals. The AD leads and collaborates with the WMS staff in developing and implementing marketing campaigns, managing admissions events, and maintaining communication with prospective families throughout the recruitment cycle.
Primary Functions
- Leads and collaborates with staff in the admissions process
- The AD is responsible for the aesthetic presentation and marketing of the school building in alignment with the prepared environment principle of Montessori. The AD will direct faculty to keep the school presentable and in excellent condition.
- AD runs all admission events and must coordinate the details of events, including content, setup, refreshments, etc.
- Collaborates with school leadership to develop and continuously refine the admissions and marketing strategy
- Aligns admissions and marketing strategies with school vision and broader school goals
- Systematically monitors and follows up with admissions leads via phone calls, personalized emails, text messages, and social media to nurture relationships and encourage enrollment.
- Initial reviewer of student admissions applications
- Schedule and conduct school tours
- Organizes and leads admissions and marketing events, including, but not limited to, Open House and conference booth displays.
- Collects, analyzes, and presents various data admissions and marketing data points to inform admissions and marketing strategies
- Presents monthly admissions and marketing reports to the Head of School and Board of Trustees
- Engages external professional communities (e.g., AISAP, AMS, etc.) that contribute deepened knowledge and support the goals of WMS.

Qualifications
The Montessori Substitute Teacher position runs on an as-needed basis. The Montessori Substitute Teacher is responsible for a range of child supervision and teacher assistant duties. This role includes, but is not limited to:
- You are knowledgeable about the Montessori curriculum and philosophy and can successfully employ effective teaching practices
- If you are not Montessori credentialed, you are willing and eager to learn about it
